JOB DESCRIPTION - Account Coordinator:

Vya integrates marketing technology, custom print, and fulfillment services building a full end-to-end marketing resource management platform.

This Account Coordinator role will be dedicated to specific client accounts and is responsible for managing their needs, ensuring projects are on time, within budget, and exceed client expectations.

 

How You'll Make an Impact:

  • Build, develop and manage account relationships on a day-to-day basis to build trust and loyalty with clients that will increase customer retention, growth and spend.
  • Manage project timelines to ensure product quality& on-time delivery to meet goals and objectives.
  • Monitor site support for clients to facilitate the use of systems and service offerings that will result in increased usage and revenue.
  • Manage and provide strategic account management that drives client growth and achieve the organization’s sales goals and objectives.
  • Create and facilitate training to all levels within a client to increase understanding of system functionality and product availability.
  • Provide demonstrations for existing clients to educate them on systems and service offerings which will increase opportunities for additional revenue.

JOB DESCRIPTION - Bindery Operator:

Do you like a fast-paced environment that requires organization and attention to detail? Do you have mechanical experience operating machines? Come put your skills to work preparing a variety of marketing products! Vya has an immediate opening for a Bindery Operator.

As the Bindery Operator, you will be responsible for running different bindery equipment in our digital print production environment. You will have knowledge of continuous folders with fugitive gluing, inserters, drill presses, shrink wrappers, inkjet, and mail tabbing equipment.

Full-time
1st shift w/ possible overtime

 

Responsibilities of the position include:

  • Ability to deliver document assembly and finishing
  • Operate finishing equipment
  • Clean and maintain equipment as necessary
  • Review the daily schedule for jobs
  • Reviews the job ticket and understands the entire scope of the job, quantities, and finishing operations
  • Performs in-process QC checks in accordance with company policies and procedures
  • Set up, operate, and adjust finishing equipment to meet production standards

 

Other requirements of this position include:

  • High School Diploma or equivalent
  • 2-3 years’ experience preferred
  • Ability to stand/walk, stoop, push and pull for extended periods of time
  • Ability to lift up to 40lbs, pull 50lbs of force
  • Computer literate and knowledge of computerized cutting and scoring equipment
  • Must exhibit close attention to detail and strong level of accountability
  • Ability to adapt to a constantly changing and fast paced environment

  • Provide support for clients to facilitate use of systems, product availability & service offerings, resulting in increased usage & revenue
  • Manage online and print projects, ensuring quality & on-time deliveries meet sales goals
  • Creates & facilitates training to all clients on the systems functionality
  • Collaborate with cross-functional internal teams to ensure client site support needs are being met
  • Monitor and review all customer quality and delivery metrics
  • Assist with Quality Assurance with testing as needed
  • Reviewing, sending, and checking of proofs of client advertisements
  • Work with vendors to obtain pricing and lead times for online project requirements

 

To be successful in this role, you should have:

Print Project Coordinator (Estimating & Pricing)

JOB DESCRIPTION - Print Project Coordinator (Estimating & Pricing):

Vya, Inc. is looking for a Print Project Coordinator with responsibilities for estimating/pricing digital print and large format, proofing, and coordinating print jobs at our digital print and large format facility in Woodlawn, OH.

 

Vya provides businesses with web-based marketing resources and creative production management services, email and social media marketing tools, and digital print and fulfillment services.

Job Summary:

The Print Project Coordinator is responsible for quoting and overseeing print jobs. Duties include creating estimates, reviewing proofs, serving as a resource for customers and building and maintaining client relationships.

 

Job Type: Full-time

 

Essential Functions and Responsibilities:

  • Work with client, sales, and production teams to review program specs and gather the required information to provide quotes to customers and sales by utilizing the estimating system.
  • Create accurate and profitable estimates for print jobs that result in winning print work from clients.
  • Effectively manage print jobs while following established processes, maintaining quality and on-time delivery that leads to client satisfaction and retention.
  • Use internal or external sources to help establish best materials and pricing for RFP/RFQs.
  • Maintain regular communication with internal teams and clients.
  • Act as the internal print subject matter expert to support Vya's ability to successfully fulfill customers' print-related needs.
  • Suggest alternate production methods to offer clients the most cost-effective options.
  • Build and maintain client relationships that result in being viewed as a strategic partner and support the achievement of the organization's objectives.
  • Perform product & supplier research according to project requirements and client requests.
  • Manage numerous projects at a time and meet all deadlines.
  • Entry and follow-up on purchase orders as well as expedite past due purchase orders, tracking purchase orders and respond to questions relating to purchasing orders.
  • Manage order logistics including job tracking, order follow-up, details of inquiries, complaints, and/or comments, as well as actions taken.
  • Create solutions to vendor issues including quality, timing, pricing discrepancies, etc.
  • Proactively communicates status of print projects to corresponding Account Coordinators.
  • Troubleshoots and escalates client issues to appropriate Account Coordinators, Account Management Manager, Director of Operations, and Director of Client Engagement as required.
  • Writes up orders, sends to pre-press for creation of proofs and places in appropriate location. Follows up on orders as necessary.
  • Checks proof PDF’s accuracy; grammar, dates, codes, against customer specifications. Reviews printed proofs for; correct folds, holes punched, color, backing up correctly, correct finishing, scuffmarks from press, etc. Informs Production Manager or department leads of any issues to adjust and resolve. Requests corrected proof and obtains required approvals from customers prior to sending it to production.
  • Solicits and reviews quotes and proofs from vendors. Writes POs for vendors as required and checks in on status of orders.
  • Participates in production meetings to review schedules, project due dates; communicate updates, schedule changes, and issues.
  • Cross-trains other assigned team members and serves as a backup for other Print Project Coordinators as required.
  • Must be able to perform the essential job functions of this position with or without reasonable accommodation.
  • Performs other duties as assigned.

 

Position Qualifications:

  • Minimum 2-4 years digital, large format, and/or similar print project coordination experience REQUIRED.
  • Experience creating estimates for print and fulfillment jobs.
  • Adept with numbers and possesses strong negotiation skills REQUIRED.
  • Advanced knowledge of Microsoft Excel.
  • Strong software skills (tech-savvy) REQUIRED.
  • Experience working directly with customers (i.e., customer service or client support roles) is highly preferred.
  • Ability to multitask and work independently in a fast-paced, dynamic environment.
  • Experience coordinating print projects with quick turnaround times.
  • Bachelor's degree in Business, Liberal Arts, or equivalent education; degree PREFERRED.

  • Manage milestone timelines for each campaign to ensure product quality & on-time delivery to meet sales goals and objectives.
  • Assist with site support for clients to facilitate use of systems, product availability & service offerings that will result in increased usage & revenue.
  • Assist team members with various tasks due to team capacity and upcoming deadlines
  • Provides support for clients, as necessary. Receives requests via email, chat, and phone. Responds to requests, answers questions, resolve complaints, provides status of web jobs and estimated completion times. Escalates issues to sales executive and/or director of client engagement, as necessary, to ensure timely resolution and send customer functionality requests to project manager.
  • Collaborates with internal teams to ensure client project needs are met; proactively updates internal teams on customer updates, satisfaction, and user adoption

The Campaign Project Coordinator is responsible for managing on-line project timelines to ensure quality and on-time delivery and the successful fulfillment of client campaigns, both digital and print.

 

How You'll Make an Impact:

 

  • Executes or coordinates all activities relating to clients' campaigns.
  • Creates campaigns and templates based on client’s campaign calendar, manages templatization workflow, and quality checks the campaign and template settings against client requirements.
  • Creates campaign matrices to include all client information required for campaign execution and fulfillment.
  • Prepares for client campaigns through creating appropriate organization of files, coordinating the building of proofs, and creating the annual commitment form for campaigns to meet campaign specifications and timelines.
  • Performs quality checks on client’s campaign proofs and manages proof samples and tracking.
  • Manages milestone timelines for each campaign to ensure product quality & on-time delivery.
  • Proactively communicates across internal teams of new project types, large incoming projects, their defined timelines and the status of print fulfillment.

Marketing resource management is not a one-and-done solution. A commitment to meaningful support by a knowledgeable technology partner is essential to a successful long-term implementation.

Outside organizations and technology can be a wonderful complement to your team. However, it’s critical to closely evaluate your needs against the experience, processes and culture of possible vendors. Be sure your needs align closely with the services a vendor provides.

Consider customer service and internal culture, as well. It may not seem important to think about the culture of the company you partner with, but it can tell a lot about the organization in the long run. Will they stand by your side and help you solve problems or stand on the sidelines and shrug their shoulders?

Evaluate potential vendors for their ability to set up the system and your users for success, particularly in the areas of configuration, training, ongoing support, and communication with you and your team.

Data Capabilities
For today’s data-driven marketing, it’s important to choose a marketing vendor with data capabilities that support next-level marketing. Usable data enables businesses to access their customer intelligence more quickly, provide better insights, and market more effectively.
